Managing Marketing Projects

Marketing Projects are managed in the Marketing & Copy space in ClickUp. The goal is for the space to be a living knowledge base. Any task created in this space should include as much context and information as possible, as well as links to drafts in Google Docs or live articles/webpages.

As suggested by the name, any tasks related to planning and research should be created here. Examples of tasks that qualify:

  • Brand brainstorming
  • Content calendar planning
  • Marketing team discussions
  • General SEO strategic research

Development, optimization or property-specific SEO work should be tracked here. These lists are where we put tasks related to managing our websites. Content creation isn't managed here.

✍️ Content production​

The Content production folder is a place to develop and track content ideas through to publication and promotion. It's subdivided by medium:

  • Videos: ideas for videos, which will appear on the Tangible YouTube channel and embedded or clipped for social media.
  • Portfolio and case studies: covers two content types used on the Tangible Agency site.
    • Portfolio: Showcasing our design expertise. Graphic-heavy with a focus on the design work that was done. Examples: https://teamtangible.com/portfolio/
    • Case Studies: Showcasing features and the details that made the project stand out. One Case Study with multiple interesting features can be broken up into multiple featurette posts. Examples: https://teamtangible.com/featurettes/
  • Emails: Tasks related to designing, composing, and delivering email marketing such as newsletters, and management of contacts.
  • Blog posts: Management of creation, review, publishing and promotion of blog posts across Tangible properties. There are some rules to follow when creating a task here:
    • This list has two custom fields which should always be filled out when relevant: Publish location and Blog series.
    • The title of the task should be the working title of the post if possible. If in time we think of changing the title of the blog post, that’s understandable, and the new one should be mentioned in the comments.
    • Writing and collaboration should take place in a Google Doc in the Tangible Site Content shared Drive, in the folder associated with the property it's being written for. A link to the doc should be added to the task in ClickUp, and the doc in Drive should be moved to the "Published" sub-folder if it is complete, or the "Archive" sub-folder if it is shelved.
  • Documentation: A shared space for public-facing documentation tasks across Tangible's sites and properties. Tasks from plugin development spaces should be multi-homed here for easier cross-project tracking of documentation. Examples of tasks which belong in this list are:
    • Plugin documentation
    • Documentation made for service clients
  • Events: Not yet in use. A space for planning live events such as webinars and meetups.
  • Social Media: For tracking planning, composing, scheduling, and publishing of posts across Tangible's social media accounts: Facebook, X, Instagram, Behance, Dribbble, Linkedin, TikTok, and YouTube.

  • Cancelled: Unpublished content that won't be revisted. Should be set to the Closed/Cancelled status as well
  • Collaboration: Tasks involving collaboration with external companies or individuals
  • Content production: tasks related to content production
  • Maintenance: tasks related to maintenance of social media accounts, API connections, and websites.
  • Optimization: tasks related to SEO optimization
  • Research: tasks with uncertain outcomes, experiments, and fact-finding
  • Training: tasks for tracking time spent reading up on marketing best-practices, learning new tools, and other marketing-related training.

πŸ“£ Statuses​

We have 2 sets of statuses in this space. In the Market Research and Planning, and Websites and Properties folders we have the same statuses we’re used to in client spaces:

  • 🌲 Evergreen Tasks: This task won't switch statuses until it's no longer of use, at which point it will be closed. For generic tasks or recurring tasks.
  • 🩢 Ideas: This task is just a concept, it hasn't been scoped out or we haven't yet decided it's worth doing.
  • 🧑 Requires Estimate: This task is pending estimates from the team.
  • πŸ’› Pending Greenlight: This task is pending approval from management, we've provided them with information about it.
  • 🩡 Ready to start: This task is ready for delegation, or the team member it has been delegated to hasn't begun work on it yet.
  • πŸ’™ In progress: A team member is actively working on this task.
  • πŸ’š In review: The assigned team member feels they have met the criteria layed out in the task. This task is pending review by the assigner.
  • βœ… Completed: The assigner has reviewed the task and deemed it completed. The task is complete/the work can be launched.
  • πŸ—„οΈ Closed/Cancelled: This task doesn't need any further action and is unlikely to be re-opened.

In the Content Production folder, we have a slightly different set of statuses:

  • 🩢 Outlined Ideas: The concept content idea has now been outlined. We have a clearer understanding of the content idea.
  • πŸ’› Approved Idea: The idea has been discussed with the marketing team and we want to proceed with it to get a place on one of our sites.
  • 🧑 In Progress: The content idea is in the process of being developed. A team member is actively working on this task.
  • 🧑 Needs Update: The published content is out of date and needs to be refreshed/updated.
  • ❀️ Drafted: The content idea is now fully drafted.
  • 🩷 Needs Approval: The content is ready to be reviewed. There is an automation that will assign the team member that needs to review the content once a task lands in this status.
  • πŸ’œ Ready to Publish: The assigner has reviewed the content and deemed it ready to be published on the assigned platform.
  • πŸ’— Ready for Promotion: The content is published and ready to be promoted on the assigned platform or other platforms.
  • πŸ’™ Engagement Monitoring: The content is published and should be monitored across promotion platforms so that any comments can be replied to or liked.
  • πŸ—„οΈ Closed/Cancelled: This task doesn't need any further action and is unlikely to be re-opened.
